A sincere apology has three parts: you take responsibility, you show you understand the harm, and you say what you plan to do differently. Below are the steps, the phrases that undo an apology, and example messages you can adapt.

How to apologize in 5 steps

  1. Say sorry plainly. "I am sorry" or "I apologize". No "but".
  2. Name what you did. "I am sorry I spoke over you in the meeting" is clearer than "sorry for yesterday".
  3. Show you understand the harm. "It made it look like your work was mine."
  4. Say what you plan to change, and only promise what you can keep.
  5. Offer to repair it if you can: "Let me tell the team it was your idea."

Then stop. Give the other person room to answer, or not to answer yet.

What to avoid

Some phrases turn an apology into a defense.

  1. "I am sorry if you were offended." It puts the problem on their reaction. Say "I am sorry I said that."
  2. "I am sorry, but..." Anything after "but" cancels what came before.
  3. Long explanations. A short reason can help. A long one sounds like an excuse.
  4. Asking for forgiveness right away. It puts pressure on them. Let them decide in their own time.
  5. Apologizing again and again for the same thing. It can start to feel like it is about you.

When to apologize

Let them be heard first. In one study, people rated later apologies as more effective than early ones. So listen first, then apologize. Do not let it drag on for weeks.

Apology messages to a friend

  • I am sorry I missed your graduation. I know it mattered to you, and I should have been there.
  • I was wrong to say that, and I am sorry.
  • I have been thinking about what happened, and I owe you an apology. I am sorry I did not listen.
  • I am sorry I disappeared when you needed me. I want to make it up to you.

Apology messages to a partner

  • I am sorry I raised my voice. I should have stayed calm.
  • I am sorry I broke my promise. I know it hurt your trust, and I want to earn it back.
  • I was defensive when you tried to talk to me, and I am sorry. I am ready to listen now.
  • You were right, and I am sorry it took me this long to say it.

Apology messages to a coworker

  • I am sorry I spoke over you in the meeting. It was your work, and I'm ready to make that clear.
  • I apologize for the delay on my part. It held up your work, and I have fixed my schedule so it does not happen again.
  • I am sorry for my tone in my last email. I should have been more careful.
  • I made a mistake in the report and I am sorry. I have corrected it and let the team know.

Short apology texts

  • I am sorry. I was wrong.
  • I owe you an apology. Can we talk?
  • Sorry for what I said earlier. It was not okay.
  • I messed up, and I am sorry.

Text, call or in person?

For small things, a text is fine. For anything that hurt someone, a call or a face-to-face conversation shows more care, because they can hear that you mean it. A written apology can still help when talking is hard, or as a follow-up after you have spoken.

If they are not ready to forgive

An apology is not a deal. They may need time, or may not accept it at all. Say it once, sincerely, then show the change through what you do. That does more than a second apology.
